The Student Group Resource Center (SGRC) focuses on providing commonly used items directly to student groups for events and daily operations. The SGRC is located on the second floor of Coffman Memorial Union, with additional items available for pick up in the St. Paul Student Center. Currently registered student groups are eligible to request items from the SGRC any time the center is open. Registered student groups are also encouraged to make suggestions for new inventory. These suggestions will be reviewed by the Student Group Services Team and updates will be sent to the requester.

In-Space Resources
Available for use in the Resource Center
The resource center provides student groups access to materials and tools they can use in the space, such as:
- Office supplies (markers, glue, paper cutter, etc.)
- iMacs (With Adobe Creative Cloud)
- Button makers
- Large rolling white board
- Printing Available
Before reserving items, please be aware of the following:
- Items meant for use within the SGRC must remain within the space unless otherwise specified.
- Resources must be returned to the SGRC staff when the group's reservation is over.
- Students are responsible for logging out of computers/technology they use within the space.

Resources for Check-Out
The majority of the SGRC inventory are items and resources for free check-out that can support student group events and meetings and that groups can check out for free. Please see our inventory for an up to date list of all available resources.
- Items that are able to be checked out are free for the group to use.
- Student groups may request to check out most* items for up to 72 consecutive hours (3 days).
- Items that are returned past the confirmed return time will incur a late fee of 25% of their total reservation for each day the items are late, up to 4 days.
- Other charges may apply if items are returned damaged or missing.
- Groups are welcome to get assistance with reservations by visiting the space or emailing the SGRC Team.

Resources for Credit
All currently registered student groups are eligible for a $300 resource credit to purchase items through the Student Group Resource Center. This credit can also be used for student group printing. See below for more information.
- Each currently registered student group is eligible for $300 of Resource Center Credit per fiscal year.
- The credit can only be used for resources procured through the Student Group Resource Center.
- Groups may not request the credit as funds in the form of a payment or EFS transfer.
- Funds that are unused at the end of the year will not be carried forward to the next fiscal year.
- Only officers who are currently listed in GopherLink can request items for credit.
- Student group officers are responsible for knowing how much credit is remaining before they request more items. Groups may reach out to the SGRC Team if they would like an update as to their current credit amount.
- Groups may be invoiced for additional expenses if their requests go beyond their credit limit.

Print Cards
- Groups may request one print card for their group.
- Funds used for printing with the print card are deducted from the group’s total resource center credit.
- Printing cards will be limited to $10 per month and may be used at Printing Services, OIT printers, or computer labs.
Increases of the monthly limit may be requested. Requests need to be emailed to the Student Group Resource Center staff by listed officers at least one (1) week in advance of intended use and must be within the remaining limit of the resource center credit.

Student Group Kitchen
The Second Floor Kitchen in Coffman Memorial Union will be reservable to all currently registered student organizations starting Tuesday, January 21, 2025. Student groups must be currently registered through the Student Activities Office and in good standing in order to make reservations. The kitchen is available for reservation during the following hours:
- Monday - Friday: 11:00 AM - 8:00 PM
- Saturday: 11:00 AM - 7:00 PM
- Sunday: 1:00 PM - 5:00 PM
The kitchen is classified as a residential kitchen, not a commercial kitchen. Therefore, only food for individual consumption or for small private meetings can be prepared in the kitchen. It is not to be used to prepare food for large private events or public events/meetings. All use of the kitchen must be in compliance with the University of Minnesota Department of Environmental Health and Safety (DEHS).
The following policies will be implemented starting Tuesday, January 21, 2025.
- The kitchen will remain locked until it is reserved.
- The kitchen will only be accessible through the Student Group Resource Center. Student groups must seek out an employee in the Student Group Resource Center who will escort the student group officer into the kitchen.
- All key card access (including groups with space on the second floor of Coffman Memorial Union) has been removed.
- Student groups may store items up to 24 hours in advance of their reservation.
- All items stored must be labeled with the group’s official name, their student group ID number as listed in GopherLink and the date of their reservation.
- All items must be removed at the end of the reservation
- The Student Group Resource Center has a limited number of kitchen items that student groups may request as part of their reservation. This includes pots, pans, baking sheets, cutting boards and spatulas.
- Washing of dishes and utensils is also the responsibility of each individual student group.
- Student groups are responsible for following the Cleaning Checklist at the end of their reservation.
- Instructions for the dishwasher are posted in the kitchen. Please follow these instructions carefully and note that the dishwasher does not use soap. It uses scalding hot water to clean the dishes.
- Groups who create a mess or damages may be fined cleaning and/or damage fees by Student Unions and Activities.
- All student groups must adhere to all Student Unions and Activities Event Services House Policies for the entirety of their reservation.
- SUA is not responsible for lost items such as dishes, Tupperware, etc.
- SUA custodial staff will clean the kitchen floors and empty the trash on a daily basis.
- There is a sign posted next to each refrigerator with “throw out” days listed as every other Monday. At the end of these days, SUA custodial staff will throw away all items in the refrigerator.

Accessing Resources
How to Reserve Resources
All requests are submitted with the SGRC Request Form. This form is used for all types of inventory usage requests including the Second Floor Kitchen and Print Cards. The SGRC Team process requests within 2 business days. All groups will receive a confirmation.
- All requests are considered in the order in which they are received.
- Confirmed requests are required to guarantee the resource is available for use.
- Walk-in reservations may be available depending on the item(s) and current staffing at the time of request.
- Resources will be made available to currently registered student groups upon request by a student group officer (as listed in GopherLink).
- All resources must be used in accordance with Student Group Policies, SGRC policies (listed below) and agreement requirements.
- Groups may be charged a fee for items that are returned late, missing and/or damaged.
- Student groups should request only what they need. The SGRC staff review the inventory each semester to assess item usage.

SGRC Important Information
Before You Reserve:
- Student groups have access to the SGRC’s space in room 203 of CMU during the hours of operation.
- All resources may be requested and reserved through the SGRC Request Form which may take up to two business days to review.
- Resources that have not been reserved ahead of time may be available on a first come, first served basis depending on the capacity of employees at the time of the walk-in.
- Items that are lost/missing, damaged, or broken by the student group will incur a repair/replacement fee. All groups are encouraged to find more information in the SGRC policies.
- All items must be used in accordance with these guidelines, and with all University policies and guidelines. Examples include, but are not limited to:
The resources a group reserves are for that group’s use alone and they must follow Student Group Policies. For instance, reserving a table, computer, or event supplies allows a group to use these resources only for that group’s purpose. A group cannot reserve items for use by other student groups, University departments, outside groups, or individual use to provide access or reduced costs in using University resources, services, or staff. Providing this inappropriate access to student group resources may result in disciplinary action against the group.
Student Group Resource Center Policies
General Policies
- Student groups must be currently registered with the Student Activities Office and in good standing.
- All reservations must be made by current officers as listed in GopherLink.
- Student groups must have a Mazévo account.
- Student groups must adhere to all pick up and return procedures and policies.
- Student groups must sign an agreement specific to each reservation.
- An officer listed on Gopherlink must be present for all pick ups and returns.
- Officers must present their U-card as part of all pickups and returns to confirm their identity.
- All resources must be used in accordance with University policies and guidelines. Student groups are responsible for obtaining all necessary permits while using any SGRC inventory including but not limited to:
- The resources a group is able to access are for that group’s use alone. A group cannot reserve items for use by other student groups, University departments, outside groups, or individual use to provide access or reduced costs in using University resources, services, or staff. Providing this inappropriate access to student group resources may result in disciplinary action against the group.
- All currently registered student groups are eligible for up to $300.00 in credit annually to be used specifically in the SGRC.
- Student groups may submit suggestions for new inventory.
- Student groups with policy violations or process issues may be reviewed to determine continued access to the space and inventory.
- The SGRC staff reserve the right to restrict access to the space and inventory as needed.
Minimum Requirements to New Inventory Suggestions
- All new requests are reviewed by Student Unions and Activities students and staff.
- Guidelines for adding new SGRC inventory:
- There is storage available for the suggested item
- There is available funding for the suggested item
- The suggested item is versatile and can be used by a variety of student groups
- The SGRC must be able to sustain the availability of the item and reviewers will consider the maintenance required.
- The suggested item must be safe to use
Print Card Usage
- Groups may request one printing card for their group.
- Funds for printing with the printing card are deducted from the group’s Resource Center Credit.
- Printing cards will be limited to $10 per month and may be used at Printing Services or OIT printers or computer labs.
- An increase of the monthly limit may be requested. Requests need to be emailed to the SGRC by a listed officer at least two (2) weeks in advance of intended use and must be within the remaining limit of the Resource Center Credit. However, the balance will be deducted from their total credit balance.
Items for Credit
- Items for credit may only be purchased using their available credit through the SGRC. Student groups may not submit requests for credit using their own funds.
- Student groups may not return items purchased with their credit.
- The credit can only be used for resources procured through the SGRC Resource Center.
- SGRC is not responsible for storing items purchased with their credit after pick up.
- Credit items that have not been reserved ahead of time may be available on a first come, first served basis.
- Groups may not request the credit as funds in the form of a payment or EFS transfer.
- Funds that are unused at the end of the year will not be carried forward to the next fiscal year.
Inventory for Check Out
- Officers are responsible for maintaining all items in good condition and returning items on time.
- Groups may be charged a fee for items that are returned late, unclean, damaged or missing parts.
- It is up to the discretion of the SGRC staff to determine fee(s) charged to the student group for replacement items or pieces/parts at the time of return.
- Officers may reference the Student Group Policies for more information on consequences of past due bills.
- Student groups are required to submit billing information based on their classification at the time of the reservation to be used in the event the group is charged for damages, clean up fee and/or late return.
- Student groups may not return items without a SGRC Student Employee and an officer of the group (as listed in GopherLink) present.
- Student groups must undergo an inspection of all items at the time of return. This will be conducted by the SGRC Student Employee in order to certify that all items are present and in the same condition as prior to the reservation.
- Items can not be returned outside of business hours.
- Student groups are responsible for maintaining and storing all items in their reservation until the return process is completed. No storage will be provided for items checked out / while reserved.
In-Space Inventory
- Items only reservable within the SGRC space must remain on the Second Floor of Coffman Memorial Union.
- Items not returned within their reservation time or stored outside of the SGRC will incur a replacement fee determined by SGRC staff.
- Student groups using in-space inventory must also comply with all policies associated with inventory available for check out.
