  • Must plan to maintain student eligibility through this Spring term and through Fall & Spring terms of next year
  • Must be able to work 15-20 hours a week during the academic year and 30 hours a week during the summer
  • Excellent time management skills
  • Strong organizational, customer service, and leadership skills including the ability to understand, set, and achieve goals, work independently and in a committee, problem solve, and effectively communicate
  • Proficient in Microsoft Office and Google Applications Suite
  • Ability to receive and delegate tasks

Preferred Qualifications

  • Prior work in a team-focused atmosphere
  • Prior event programming and/or event coordination experience
  • At least one year of past involvement with University of Minnesota Program Board or SUA
  • Completed at least two semesters of coursework at the university/college level
  • Additional preferred qualifications for Marketing Coordinator position
    • Editorial, persuasive, and copywriting
    • At least 1-2 years of experience in a marketing related field or a Marketing/Advertising Major

Title: Program Board Coordinator

Level: Advanced

Essential Functions:

The Student Unions & Activities (SUA) Program Board intends to further the cultural, educational, social, entertainment, and recreational needs of the students and campus community through providing campus-wide programs. The SUA Program Board shall be responsible for initiating, developing, and implementing a diverse event schedule, including annual events such as Homecoming and Spring JamTM. SUA Program Board intends to provide program planning skills, leadership experience, and interpersonal development for participating students.

Duties and Responsibilities:

  • Able to work up to 15-20 hours a week during the academic semester and up to 30 hours per week during the summer. Work hours will be determined in collaboration with position supervisor.
  • Attend the Coordinator Retreat (held in late January).
  • Assist in recruitment, interviewing, and training of the SUA Program Board Committee Event Planners
  • Attend and assist in execution of the three Program Board All-Committee Retreats (held in March, May, and August).
  • Provide Feedback on Homecoming and Spring JamTM themes, logo designs, artworks, and website formats with Student Unions & Activities Marketing department
  • Research ongoing events happening on campus, in local communities, and at other institutions to inform programming decision made by SUA Program Board committees
  • Ability to separate affiliation from any student organization, Greek chapter, or residence hall to promote inclusive programming at events
  • Be present for events/activities during the weeks of Homecoming and Spring JamTMas class schedule permits; regularly attend SUA Program Board events
  • Help promote and represent SUA Program Board to University constituents
  • Meet weekly as a coordinator team during all academic terms
  • Facilitate bi-weekly Program Board meetings during the academic year
  • Assist in planning, implementation, and execution of all Welcome Week, Homecoming, and Spring JamTM components as assigned
  • Research college trends to help inform programming decisions
  • Summer projects as assigned
  • Reports to assigned Student Activities Office or Marketing full-time staff member

Other Duties May Include:

  • Oversee SUA Program Board general budget, in cooperation with Program Director and Assistant Director for Student Activities, including expenses and revenues received, and forecasting expenditures for future events Specifically oversee budgets for Program Board Retreats, Program Board staff gear, event-related promotions, training and development.
  • Assist with sponsorship generation for Homecoming, Spring JamTM, and other events or programs as determined.
  • Serve as a representative of the SUA Program Board to the Board of Governors.
  • Serve as a representative on the Student Activities Grants Committee.
  • Manage overall Program Board master calendar of events.
  • Manage selection process of Homecoming Royalty candidates and coordinate Royalty Court appearances and communications in conjunction with Royalty timeline
  • Assist with planning, implementing, and executing Homecoming Concert and Parade
  • Plan and implement recognition event(s) for Program Board.
  • Maintain Program Board partnership records
  • Provide excellent customer service to outside constituents such as Landcare, University of Minnesota Police, and Parking and Transportation
  • Plan and implement philanthropic events
  • Act as a representative to Events Services; collect all space/facilities needs from coordinators
  • Monitor event spaces and cancellations
  • Work with external vendors
  • Assist with content creation for Program Board photo, video, and social media projects
  • Coordinate the distribution of communications, media, and promotional tactics as designed by Marketing Coordinator and staff; including new media
  • Manage photo/video documentation for SUA Events & Activities which requires ongoing attendance at Program Board events
  • Lead grassroots communications and outreach efforts to the entire student body including registered student groups, living communities, and academic programs
  • Recruit and manage the SUA Street Team and/Homecoming/Spring JamTM and general Program Board Event volunteers
  • Develop and strategize content for various mediums including, but not limited to: ads, posters, brochures, newsletters, web pages, listservs, videos, social media and press releases
  • Gather and analyze research including categories of social media, competition, market, traffic, and web usage data
  • Routinely meet with Program Board areas to implement and assess ongoing marketing efforts, specifically Homecoming and Spring JamTM
  • Coordinate event execution for 4-6 events per year
  • Serve as media spokesperson for Program Board, including Homecoming and Spring JamTM
  • Support Marketing Team Leader and Marketing Manager as U of M department liaison between SUA and internal departments such as UMAA, GopherSports, OHR, etc. as needed
  • Other duties as assigned
